Terms of Service
Last updated: August 29, 2026
These Terms govern your use of InboxAvatar. By using the service, you agree to them. If you’re agreeing on behalf of a business, you confirm you’re authorized to do so.
1. The service
InboxAvatar configures and maintains the settings that make your logo appear as a sender avatar across email providers — including DNS records, DMARC alignment, hosted BIMI logos, and provider brand profiles. We do not relay, read, or send your email.
2. Your account
You sign in with a passwordless magic link sent to your email. You’re responsible for keeping access to that email secure and for activity under your account.
3. Your content and authority
You represent that you own or control the domain you enroll and the logo you upload, and that you have the right to use them. You grant us the license needed to host and deploy your logo across email providers for the purpose of providing the service. You retain all ownership of your marks.
4. Managed accounts on your behalf
To deliver your avatar to certain inboxes, you authorize us to create and maintain accounts or brand registrations on your behalf (for example, a Google account that carries your profile photo, or an Apple Business Connect listing). We manage these solely to keep your avatar live for the duration of your subscription. If your subscription ends, we may relinquish, remove, or stop maintaining these accounts and registrations.
5. Acceptable use
You agree not to use the service to impersonate another business, to display a logo or mark you don’t have the right to use, or for any unlawful, deceptive, or abusive purpose. We may suspend service for violations.
6. Billing and cancellation
Paid plans are billed annually, per domain, and renew automatically unless cancelled before the renewal date. You can cancel at any time; cancellation takes effect at the end of the current term. Fees are non-refundable except where required by law. When a subscription ends, we stop maintaining the setup and the hosted elements of your avatar come down over time.
7. Third-party providers
Your logo appears through the systems of independent providers such as Google, Apple, Microsoft, and Yahoo/AOL. We don’t control those systems, and their policies, features, and display behavior can change without notice. We work to keep your avatar live and to adapt when providers change their rules, and if it isn’t appearing as expected on a supported inbox, we’ll work with you in good faith to diagnose and restore it. That said, we can’t guarantee that any specific provider will display your logo at all times.
8. Disclaimers
The service is provided “as is,” without warranties of any kind, express or implied, including any warranty that a given inbox will always show your avatar. We do not warrant uninterrupted or error-free operation.
9. Limitation of liability
To the maximum extent permitted by law, InboxAvatar will not be liable for any indirect, incidental, or consequential damages, or for lost profits or revenue. Our total liability for any claim relating to the service will not exceed the amount you paid us in the twelve months before the claim.
10. Changes to these terms
We may update these Terms from time to time. We’ll revise the “last updated” date above, and for material changes we’ll make a reasonable effort to notify you. Continued use after a change means you accept the updated Terms.
11. Governing law
These Terms are governed by the laws of the State of Tennessee, United States, without regard to its conflict-of-laws rules.
